MEET THE COORDINATORS

There are some amazing wedding planners and coordinators in the area, and we still recommend some of them. However, we have noticed that many coordinators often advocate for their own DJs almost exclusively, so why couldn't we do the same in reverse? 

 

We love communicating directly with our clients to add a personal touch and by including wedding planning in our services, we can connect with you even more closely.

 

Keeping everything "in house" makes it MUCH more affordable for you, all while providing a full service experience, ensuring that your day runs smoothly and seamlessly.

THE DETAILS

Our coordinators have years of experience with multi-faceted weddings and events. 

Pre-Planning Meeting

Licensed Professionals

About 45-60 days before your event, we'll have an initial meeting to discuss all details regarding vendors, decor, theme, setup, teardown, timeline, and floor plan. We'll also conduct a venue walkthrough, either in person or virtually, depending on scheduling.

 

Finally, 7-10 days before the event, we'll review and confirm all details before coordinating with all other vendors on the final timeline.

Wedding Table Setup

Wedding Rehearsal

The day before the wedding, we'll spend about an hour running through the ceremony to ensure everything is set for the big day. We'll review all vendor contracts to ensure efficient timing and create a weather contingency plan if needed.

Day of Coordination

On the wedding day, the coordinator assumes the responsibility of being the main point of contact, arriving promptly at the venue ahead of the first vendor's expected arrival time (excluding hair and makeup services). They oversee the seamless collection and transportation of all essential items required for the day, including personal belongings and decorations, ensuring everything is in place at the designated location.

 

Throughout the event, the coordinator manages various tasks, from distributing bouquets and corsages to guiding the wedding party through the processional and recessional. They coordinate with vendors, maintain the timeline, and handle logistical details such as checking for the presence of the marriage license and rings, instructing ushers on family seating arrangements, and facilitating outfit changes or bathroom breaks as needed. Additionally, the coordinator assists with the transfer of items like the guest book to the reception, sets up pre-assembled decor, and facilitates the send-off if planned.

 

After the festivities conclude, they ensure that personal belongings are packed and stored appropriately, and handle the distribution of final payments or tips to vendors, allowing the couple to enjoy their special day without any logistical worries.
